2022-2023 September Case Manager Timeline

What We Do
Progress reports must be distributed when progress reports and report cards go home. The cut-off date is the date that is reflected on the IEP Progress report. The distribution date is when the IEP Progress report is sent home. See the Grading Schedule for each level:

PreK/ECSE - Kinder                                            Grades 1-5                                    Grades 6-12

Due by September 9:

⬜   Updated & signed Verification of Special Education Services Form  showing all students' schedules match their schedule of services (for those students who had "No" identified in any of the columns, corrections are to be made, document updated, and submitted to DC/TL)

⬜    Use eSchool access to review grades, discipline, and attendance for each student on your caseload. Review data collection sheets to determine student progress. 

  • Inclusion teachers collaborate with general education teachers to ensure students have progress report grades uploaded.

  • CASE teachers upload progress report grades for their students.

 

⬜   For STUDENTS  in Grades 6 - 12, distribute 1st IEP goal and objectives progress reports for the students that you case manage for the 1st reporting period (dated 9/2/22). Include the cover sheet for receipt of IEP progress report to be returned with parent signature.

  • Acceptable progress reporting includes data of where the student is in mastering the goal/objectives: 4 out of 5 opportunities, attends to task for 15 minutes, 80% accuracy 

  • Unacceptable progress reporting: "in progress" or "minimal progress"  

⬜  Ensure that you, as well as other teachers, related service providers, and speech therapist updated their IEP progress updates.  

⬜   Archive the IEP progress report in the 2022-2023 Progress Progress Reports folder in Frontline/eSped once all goals/objectives have been updated by all service providers.

⬜  Update Parent Contact Log in Frontline/eSped documenting the date that the parent letter was sent home and the initial verbal communication to parents – District expectation is that 100% of parents have been communicated with and know their child's case manager.

⬜  Ensure students and teachers know how to reach you if they need you outside of the course you are instructing.


⬜  Complete schedule template for teacher and paraprofessionals by replacing all red areas with specific information & including all students being served in the designated columns

Due by September 16:

⬜  Provide the completed teacher and paraprofessional(s) schedule templates to DC/TL for final review and submission to campus administrators and Campus Coordinator.

Due by September 23:

⬜ For Grades PreK/ECSE - Kindergarten, distribute 1st IEP Progress Report with cover sheet for receipt of IEP progress report to be returned with parent signature. This Progress report should be dated September 9.


⬜  Ensure that you, as well as related services and speech therapy providers have entered their IEP progress updates.  

⬜  Archive the completed IEP progress report (ensure all providers are included)

⬜ CASE teachers (Secondary) finalize grades for the progress reporting period 2 - see distribution calendar.


Due by September 30:

⬜ Use eSchool to review grades, discipline, and attendance for each student on your caseload. Review data collection sheets for IEP Goals/Objectives to determine student progress. 

⬜   For STUDENTS  in Grades 6 - 12, distribute 2nd IEP goal and objectives progress reports for the students that you case manage for the 1st reporting period (dated 9/23/22). Include the cover sheet for receipt of IEP progress report to be returned with parent signature.

⬜   Archive the IEP progress report in the 2022-2023 Progress Progress Reports folder in Frontline/eSped once all goals/objectives have been updated by all service providers.

⬜ Case Managers follow Progress Monitoring steps for students who are not making progress on their grades or IEP goals/objectives.

If a student continues to not make adequate progress for a second reporting period complete the Failure Documentation Form

 

⬜  Submit ESY Regression Without Recoupment form and supporting data sheets from Summer Break to DC/TL for considerations for Extended School Year (ESY) services. Data should be from August 16th - September 27th.

Extended School Year Regression / Recoupment Data Form - Summer Break (June-August)


Every Month:

⬜  Attend PLC(s) and Monthly Connection Meeting(s) 

⬜  Check with Special Education and General Education teachers who instruct the students you case manage to monitor their progress and see if there are any concerns/questions. Use the Staffing/Conversation Notes Form to maintain documentation.

⬜  Coordinate with the general education teacher to ensure  S.T.E.P. Binders have current student IEP information in them and are being maintained by the general education teacher (for all STAAR/EOC tested areas). 

⬜   Communicate with parents, and update Parent Contact Log in Frontline/eSped on strengths that you have seen in their child up to this point. Discuss the most recent Checkpoint/Benchmark data with the parents, student performance, and next steps with regards to instruction. 

⬜   Begin/continue data collection for students to determine considerations for Extended School Year (ESY) services 

⬜  Continuously review the Verification of Services to make sure student services match their Schedule of Services and they are receiving the full minutes of support as outlined in the IEP. 

⬜   Document all Special Education ARD/IEP services provided by Friday at 4:30pm. 

⬜   Ensure all services were logged for the previous month in the Frontline/eSped Service Logs, discuss any concerns with individuals receiving their IEP services/supports with the DC/TL/CS noting if they are recurring concerns that need administrative assistance. 


⬜   Prepare IEP paperwork

  • Communicate with the IEP Clerk for IEP due dates
  • Use the draft IEP that has been opened by the IEP Clerk to begin inputting information into the annual IEP being prepared (3 wks before ARD). 
  • Collect the Documentation of Accommodations form from Frontline/eSped from the GenEd and Sped teachers to report the effectiveness of the accommodations in the IEP.
  • Distribute and retrieve Teacher Input Forms for all students whose annual IEP meeting is upcoming ( 2 wks before ARD date). 
  • Draft PLAAFP, Goals/Objectives, and Accommodations to parents 5 days before the IEP meeting. 
  • Ask parents to complete the Parent Satisfaction Survey at the end of each IEP meeting. 

⬜   After the IEP Meeting

  • Archive the ARD
  • After the ARD is archived, notify the clerk. The clerk will send ARD/IEP to parent and send an email to spedpeimsclerk@springisdl.org
    • The email to the IEP Clerk must include: 

Student's Name

Student’s DOB

Student’s  ID number

Type of ARD (Annual, Amendment, and Revision)

Date of ARD & Archived Date

Anything that changed at that ARD (if it was an Amendment or Revision ARD)
